Custom billing rates: Overview (Beta)

Custom billing rates let you assign different rates to individual team members for specific services. Instead of every staff member billing at the same service rate, each person charges at their own rate — and TaxDome applies it automatically every time they log time or generate an invoice.

Custom billing rates, explained

A custom billing rate links one or more services to one or more team members, each at their own rate. When a team member logs time against a linked service, TaxDome looks up the correct rate for that person and applies it automatically — no manual selection needed.

You can find custom billing rates under Billing > Services > Custom rates.

Each custom billing rate includes:

  • A rate name (e.g., “Tax Advisor,” “Junior Associate”) that identifies the configuration
  • One or more team members assigned to that rate
  • A list of services, where custom rate specific to this group is specified. This overriddes default rate set on the service itself.

How custom billing rates work

In general, the custom billing rates workflow is:

  1. A firm admin or authorized team member creates a custom billing rate — sets a rate name, selects services, enters a custom rate for each service, and assigns team members.
  2. A team member logs time and selects a service. If that service is linked to a custom billing rate for that team member, TaxDome applies the correct rate automatically. The rate can still be manually adjusted on individual entries if needed.
  3. Once the work is completed, an invoice is created — from a time entry, from WIP, or manually. The service and team member are carried over, and the custom rate is already applied. No manual rate lookup required.
  4. The client pays the invoice through the TaxDome client portal. The team member’s name and individual rate are never visible to the client — the client sees only the service name and the billed amount.

Custom rate vs. default service rate

  • Default service rate — The rate set on the service itself, under Billing > Services. It applies to every time entry and invoice line item that uses that service, unless a custom billing rate overrides it.
  • Custom billing rate — A rate configured for a specific team member and service combination. It automatically overrides the default service rate for that person, so seniority-based or individual billing is handled without manual intervention.

If a team member is not assigned to any custom billing rate, TaxDome falls back to the default service rate.

Attention!

Each team member can belong to only one custom billing rate. All services that require a custom rate for that person must be added to that same rate.

Access and permissions

Custom billing rates are available to the firm owner and admins by default. Team members need the Manage custom rates and Manage services access rights to create, edit, and delete custom billing rates.

The Manage custom rates right also affects behavior in other parts of TaxDome:

  • Time entries: Only team members with both Manage services and Manage custom rates can change the Team member field on a time entry. Team members without these rights log time under their own name only.
  • Invoices: The Team member field in invoice line items is visible to anyone with the Manage invoices right. Rate values shown in that field are currently visible to all users who can open the invoice — a known limitation being addressed in an upcoming update.

Client view

Custom billing rates have no visible effect on the client experience. When a client views an invoice in the TaxDome portal or receives it as a PDF, the Team member field is not shown — clients see only the service name and the billed amount.

If an invoice contains multiple line items with the same service billed at different rates for different team members, each appears as a separate service line with no staff names attached.

You can always preview the invoice to see exactly how it looks for the client before sending it.
