Send different proposals to new & returning clients

No need to create another pipeline or do manual work if you want your clients to automatically receive different proposals, whether they are new and returning clients. Here, we will explain how conditional logic in your pipelines can handle this automatically.

Before you start: how conditional automations work

What is conditional logic in pipelines, though? Basically:

If a is true, then b happens.

Inside a pipeline, it means, if a client account has specific tags (e.g.  New client), then specific actions are triggered for that job as it moves through the pipeline. To make conditional logic work, you’ll need to create tags to apply to your client accounts.

This way, only a new client will trigger specific automations and other clients will skip them.

Step-by-step pipeline setup for sending different proposals

To set your 1040 pipeline for sending different proposals, follow these steps:

Step 1. Create tags

Since conditional logic in pipelines is based on tags, create New Client tag to mark new clients who need a certain proposal and a Returning Client tag for the rest of the clients.

Step 2. Create proposal templates

When setting up proposal templates for each client type, you can decide which format works best for your client relationships. For example, you could approach it this way:

- For new clients: Create tiered packages like Bronze, Silver and Gold without an invoice. This helps your new clients understand which service tier meets their needs.

- For existing clients: Create a fixed list of services with an invoice . This approach is efficient when both parties already have an established relationship and the scope of work is clearly defined.

Step 3. Add a proposal-sending stage

Create a stage for the clients to receive proposals at the beginning of your pipeline and enable Automove. This way, your jobs will automatically move to the next stage once the proposal is signed.

Note

If your proposal includes an invoice, but the payment didn’t go through, the job will still be automoved.

Step 4. Add automation for new clients

Add some automations for the stage to deal with your new clients:

Let’s make that stage ready for your regular clients too:

Tip

You can optionally use the Update account tags automation in the last pipeline stage to remove the New Client tag and apply the Returning Client.

Step 6. Test the process with your test clients

Now, make sure your proposal-sending process works as intended by adding jobs for your test clients:

  1. Apply the New Client tag to the first test client and the Returning Client tag to the other.

  2. Create a job for each client and move it to the proposal-sending stage.

  3. Log in as each test client and check the received proposals, whether they are different, and then sign them.

  4. Go back to your firm and check if the job automatically moved to the next stage.
