Conditional stages & automations in pipelines

Using conditional logic inside pipelines allows you to create if-then rules that trigger automations for selected groups of clients. Automations also decide which clients will enter the specific stages. These kinds of conditional automations and stages are set up so that they are activated by how accounts are tagged.

Note:

  • Use conditional logic with the Update account tags feature in organizers: it automatically adds and removes specific tags depending on the selected answers.
  • Use conditional logic with the Update account tags automation: it automatically adds and removes specific tags at each stage or clears all tags with the Clear existing account tags option.
  • See applied tags from the kanban view and add or remove tags by editing a job card on the spot
  • Beta users: the condition editor for automations supports multiple condition types—see Condition types for automations below

Conditional stages (move job to stage if account has certain tags)

You can create stages for specific client types, such as a conditional stage in the 1040 pipeline for signing an additional agreement or sending an invoice based on organizer answers. Only clients tagged with  Special agreements will enter this stage; others will skip it.

This feature is mainly used with Jobs automove . However, you can always move jobs to conditional stages manually.

To set up conditional stages:

  1. After you added a stage in the pipeline settings, click Add conditions under the name of the stage.

Your pipeline’s first and last stages cannot be a conditional stage.
  1. Select one or more account tags to enter the stage. You can also create a new tag right from this page. If you choose several tags, the account must have all of these tags to move a job to the stage.

  2. Click Save conditions. The condition will be displayed under the stage name.

When you view a pipeline, you can always see which stages are conditional because they have the Stage conditions link below the name. Click the link to check the conditions and add more tags.

Conditional automations (run automation if account has certain tags)

This feature allows you to run different automations for different types of clients within one pipeline based on account tags. For example, if you add new and returning clients to a pipeline, you may want to have an automation that sends an organizer only to the new ones.

Note

When using conditional automations with the Update account tags automation, keep in mind that the order of automations inside a stage matters.

Here’s how to set up conditional automations:

  1. If you don’t have any automations yet, click Add automations in pipeline settings and follow these steps . On the Automations page, select the Add conditions link under the automation you want to make conditional.

Or if you have already added an automation , click on its name, then click Add conditions.

  1. Select one or more tags to trigger the automation. You can create a new tag right from this page as well. If you choose several tags, the account must have ALL of these tags in order for that automation to be activated.

  2. Click on the  Add button, then press Save. The condition will be displayed next to the name of the automation. The automation will now be triggered only for the clients with selected tag(s).

Viewing a pipeline, you can always see which stages have conditional automations. Click an automation icon with the counter above the stage. If there are conditional automations,  image

 they will be marked accordingly. Point the cursor to see the tag that triggers the automation.

Condition types for automations (Beta)

The functionality is being developed and is currently available for Beta users. Docs on using the feature are being prepared.

There are four condition types available for automation tag conditions. Instead of requiring all selected tags to be present, you can choose one of four matching options:

  • Any of—the account must have at least one of the selected tags

  • All of—the account must have all selected tags

  • None of—the account must not have any of the selected tags

  • Exclude all—the account must not have all of the selected tags simultaneously

You can also combine multiple conditions into groups using Add condition. Groups are joined by AND, so the automation fires only when the account satisfies all groups.

Any conditions you set up before this update were automatically set to All of—they work exactly as before.
