Creating client-facing status templates
Each status consists of a color code, name and description.
By default, TaxDome offers you several ready-to-use statuses, such as Planned, On hold, In progress, In review and Done.
However, all firms operate in different ways and have their own processes. That is why you should ask yourself:
- Which stages do I have in the different services that I perform?
- Which information do I want to give my clients?
- What do they ask me the most?
As soon as you have answers, you are ready to create a set of perfect client-facing job statuses.
Here’s how:
1. Go to Templates > Firm templates from the left menu bar, then select Client-facing job statuses and click Create status.
2. Select the status color from the drop-down menu, enter the status name and description, and then click Save.
You can also create throughout the system where you are assigning them:
- When adding or editing a job, click New status while selecting a status from the drop-down
- When creating or editing a job template, click New status while selecting a status from the drop-down
- When adding the Update client-facing job status automation to a pipeline, click New status while selecting a status from the drop-down
Tip! You don’t need to create many statuses if you want to make minor adjustments in their descriptions in specific cases. Since a client-facing status is basically a template, you can always make edits after the template prefills the fields.
Editing status templates
Edit client-facing job status templates whenever you want. Here’s how:
1. From the Client-facing job statuses page, click the pencil icon to the far right of the status template.
2. Edit the color, name and/or description of the status template and click Save.
Using status templates
Once you are happy with the set of client-facing statuses, use them to smoothen your communication with clients. You can see and select them in different ways:
- on a job card
- while editing jobs in bulk
- while creating or editing a job template
- while setting up the pipeline automations.
If needed, update the status description after the status is selected.
Changing the order of statuses
It’s convenient for all team members when the status order in the drop-down hints at the real order and what comes after what. You can define the order in which statuses are displayed when you are selecting the one to assign.
To change the order of statuses, from the Client-facing job statuses page, click and hold the six-dot icon to the left of the status template, then drag it to the position you need.
Deleting status templates
You can remove the client-facing job status that you accidentally added to a job card, job template, etc.
Go to Templates > Firm templates from the left menu bar, then select Client-facing job statuses, click the trash icon to the far right of the status template, and then confirm.
Who can do this?
A firm owner and admins can create, edit and delete client-facing job status templates. If you'd like an employee to do the same, you'll need to give them access rights to manage templates.
