Time entry list (Basic): View, filter, print

You can view all your time entries in one place. In this article, we'll explore the various options for viewing your time entries, as well as how to filter, print and export them — and create invoices directly from time entries.

View time entries

There are three ways to view time entries:

  • For all accounts: go to Billing > Time entries from the left menu bar. If a team member has access rights to manage time entries, they will see all time entries. Otherwise, they will see only those time entries that they have created.
  • For a single client: go to the Invoices tab of a client account page, then select the Time Entries subtab. This page can be managed by a firm owner, admin and team member with the access rights to manage time entries and access to the client account.

If a team member doesn't have the right to manage time entries but has account access, they still will be able to manage those time entries that they have created by themselves.

  • For all accounts the team member has access to: go to Billing > WIP from the left menu bar. This page will combine all time entries for an account in a single entry that can be easily billed. This page is available for a firm owner and an admin. Learn more about WIP page.

If an employee doesn't have rights to manage invoices, they still will be able to see the Billing > Time entries page without access to clients' invoices.

On the top of the page, you will see:

  • Total duration: the total time of all time entries
  • Total Unbilled: the total amount that hasn't yet been billed in invoices
  • Total Billed: the total amount that has been billed in invoices

The  Time entries list is fully customizable

You can view columns for:

  • Name: the account unique ID and name connected to the time entry. Click on it to see more details
  • Timer status: the current status of the time entry — whether it's in progress or has finished
  • Date: the date and time the project was started. Displayed in the current team member's time zone
  • Type: shows whether the time entry is billable or non-billable. Click on it to edit
  • Assignee: the name of the team member working on the job and tracking their time
  • Service: the type of work that's being tracked
  • Duration: the total period of time for a particular time entry
  • Rate: the hourly service rate that will be charged for the service
  • Billable: the amount that will be billed (shown only for Billable time entries)
  • Invoice status: shows whether the time entry has already been included in an invoice or not
  • Invoice: the invoice number connected to the time entry. Click on it to open the Invoices list for a client
  • Description: a brief description of the project (if entered when creating the time entry)
  • Jobs: the number of jobs linked to the time entry
  • Tags: the tags applied to the time entry

You can sort the list by date and type. To do so, click the up-down arrows next to the chosen column name. Sorting can be also done after filtering time entries.

Customize your time entry list

You can customize your time entry list in different ways. You can resize, enable, disable and move columns to your liking.

You can customize the size of each column. To do so, click and hold the divider between column names and resize it by moving your mouse.

To set up the columns you want to be displayed in the time entry list, click the gear icon on the top right of the table.

Here you can select the columns you want to be displayed. You can enable, disable or move any columns you want, except for the Name column. After clicking Apply, the table will be rebuilt with new columns.

Clicking  Reset will display all columns.

Filter time entries

Filtering allows you to quickly find time entries based on certain criteria. For example, you can use filters to find all time entries connected to a specific team member. You can filter time entries using the following conditions:

  • Account: view time entries for selected client accounts
  • Team member: view time entries connected to selected team members
  • Start: view time entries with start dates within a specific time frame
  • End: view time entries with due dates within a specific time frame
  • Status: view time entries with the Active, Paused or Finished status, or all together
  • Type: view time entries that can be billed with an invoice, or those that cannot
  • Service: view time tracked for a certain service
  • Invoicing status: view time entries that have already been billed or those that have not yet been billed
  • Invoice number: view time entries connected to a specific invoice
  • Tags: view time entries with specific tags. For example, use tags to quickly find all time entries for clients with prepared 1040 forms.

To filter time entries, click Filter in the top right corner, select the filters you want, then click Apply.

Print time entries

To print a time entry list, click Print at the top right of the page. Your browser will prompt you to print the list, which will include the current date and time.
