Pipelines (Basic): Working with pipelines

Access pipelines

Pipelines are available for a firm owner, admin and team members with the pipeline access. Learn more on granting pipeline access and managing jobs access.

You can view pipelines either for a single client account, for all accounts or for those with recurrences:

  • For all client accounts: Go to Workflow > Pipelines from the left sidebar, then select the pipeline. To go to another pipeline, use the drop-down menu.

  • For one client account: Go to Clients > Accounts from the left menu bar, click on the account name, then select the Workflow tab. You’ll see all the pipelines with jobs for that client account and the progress made. Once a job has been completed and archived or deleted, it’s no longer visible. However, if the pipeline has no active jobs but the recurrence is set for that account, the pipeline will still be displayed on this page.

  • With job recurrences: Navigate to Workflow > Job recurrences from the left menu bar to view and access pipelines for which recurrences are set.

Work with jobs inside pipelines

Once you've accessed the pipeline, you can either add new jobs to it by clicking Add Job or work with the existing ones. 

This is what you can do from the kanban view of your pipeline:

  • filter jobs list to display only the ones with specified parameters
  • review essential info on a job card, such as the due date or number of actions needed to proceed with moving the job to another stage
  • view jobs by clicking their cards and access linked elements, such as organizers, chat threads, or proposal.
  • make changes to job details, e.g., link payments, mark linked tasks as complete, add comments, etc.
  • start tracking time spent on a job
  • moving job to another stage or the other pipeline
  • archive or delete jobs, either individually or in bulk
tip

Tip! Deleting jobs after the final stage is not recommended. Related entities (documents, notes, tasks, etc.) will not be deleted but will not be accessible from the deleted job card page. It's better to archive your job card to remove unnecessary stuff.

View which accounts have jobs in a pipeline

To find out which accounts have jobs within a specific pipeline:

  1. Go to Clients > Accounts or Workflow > Jobs from the left menu bar, then click on the Filter button.
  2. Select a pipeline name in the Active jobs filter and select the stage. You can select several pipelines and stages if needed.

You’ll then see a list of all client accounts that were added to the selected pipeline and/or stage.

Customize the pipeline list

If you want to, on the Workflow > Pipelines page, you can customize your pipeline list in different ways. That helps if you have many pipelines and you want to organize them better.

You can resize, enable, disable and move columns to your liking.

You can customize the size of each column. To do so, click and hold the divider between column names and resize it by moving your mouse.

To set up the columns you want to be displayed in the time entry list, click the gear icon on the top right of the table.

Here you can select the columns you want to be displayed. You can enable, disable or move any columns you want, except for the  Name column. After clicking Apply, the table will be rebuilt with new columns.

Clicking  Reset will display all columns.
