Docs (Advanced): Request files from clients and third-parties

In Documents, a file request feature lets you create a quick link for a client or third party to upload files to the folder you specified. You can send the link to the recipient in any convenient way, and there is no need to access the portal to upload. 

File requests in Documents, explained

File requests in Documents are a convenient way to ask for some files you need from your clients or third parties. 

There are two main ways of using this feature: 

  • You need to request documents for a specific client who has an account created for them in TaxDome but who doesn't want or can't access their portal (you may also use client requests for that)
  • You need to request documents from people who don't have an account created for them in TaxDome. To do so, you must create a general guest account where anyone can securely upload documents. 

Request docs from clients

TaxDome lets you create links to a Files requested upload page. Once the client clicks the link, they’re taken to a page where they can drag and drop their documents. You’ll receive a notification in your Inbox+ once the documents have been uploaded.

To create a link to a Files requested upload page:

1. Go to Documents; select the client. Next, find the folder you want the documents uploaded to, click the three dots to the far right, then select Request files

You can also access this feature from the client account Docs tab. 

tip

Note: The client won’t be able to see the other contents of the folder.

2. Enter a message; for example, why you need the requested document.

3. Choose an option:

  • Send the link manually: Click Create, then copy the link and send it via email. Or copy it later when you need it: Go to the Docs tab, then open the File requests subtab to find it.
  • Send the link automatically: Toggle on Send request via email, select the recipient from the list (the email addresses in this list are for account users with enabled portal access) or enter any email address, then click Create.

To access all the links you’ve created, go to the client account Docs tab, then open the File requests subtab.

  • If you want to resend the link automatically, click the three dots to the right and select Resend (it will be active if only you enable the corresponding toggle while creating the link).
  • If you want to resend the link manually, select Copy link, then send it in a message or email.
  • If you want to change the message included with the link, select Edit, enter a new message, then click Save.
  • If you no longer want the client to upload files via the link, select Revoke.

Request docs from people without TaxDome account

If you need to request documents from people who don't have an account created for them in TaxDome, you can create a general guest account where anyone can securely upload documents. The person uploading documents to the guest account won’t need TaxDome portal access.

1. Create a general guest account. Don’t link any contacts to it. You can share it with different people—and only you and team members can access it.

2. Stay organized: Go to Docs Documents. Inside the Private folder, create a subfolder for non-clients to upload to; name it something easily recognizable. 

3. Click the three dots to the right of the folder, then select Request files to create a secure link to an upload page. Now that you have a link, send it to the non-client from whom you need documents. 

4. Once the files are uploaded, you can share them with the third party too (for more, go here).
