Work with documents list

This article covers how to search, filter, and sort your document list. To perform actions on an individual document — such as previewing, downloading, or editing its details — see this article .

You can access the documents list from Documents > Client docs in the left menu bar, or from the Docs tab inside a client account.

Search for documents

There are several ways to search for documents in TaxDome: from the global search, from the Client docs page, or from inside a client account.

Search from the Client docs page

On the Client docs page, there are two options: search on the Recent and Docs tabs.

  1. Check the Recent tab with documents that have undergone an action in the last 30 days. To search in the Recent tab, start typing the name of the document in the Search field at the top right, and you will see the suggested documents with the account names to which they are linked.

Click on any suggested document to open it. To view all the documents found, either press Enter on your keyboard, the 🔍︎ button, or the Show all button.

To search for documents by client account:

  1. On the Client docs page, open the Docs tab.

  2. Type the name of the client in the top left Search field and press Enter on your keyboard or the 🔍︎ button. Or you can select a client from the list.

  3. Type the document name in the search field at the top right and press Enter on your keyboard or the 🔍︎ button. Search results appear as a flat list showing each document’s location.

  4. If you now select another client, you’ll instantly see the search results for them as well.

Click the X in the Search field to clear it.

To search from an account’s Docs tab, start typing the name of the document in the Search field at the top right, and you will see the suggested documents with the client name to which they are linked.

Click on any suggested document to open it. To view all the documents found by this search, either press Enter on your keyboard, the 🔍︎ button, or the Show all button.

Click the X in the Search field to clear the search and return to the folder tree.

To do a global search, click the search icon at the top left, then type the document name and choose the needed document from the Documents tab.

You can also press Enter on your keyboard or click Global search to access search results page

Filter documents

Filters help you narrow down a list of documents to ones that fit a specific criteria. You can filter a documents list:

  • inside the Documents tab in the Docs subtab (select the client first)
  • inside the Documents tab inside the Recent subtab (for more details, go here )
  • inside the client account in the Docs tab.

To filter a list of documents, click Filter in the top right corner, select one or more filters, then click Apply. Save your filter combinations as templates for future use. For more details about using filters, go here . When a filter is active, the folder tree is replaced by a flat list of matching documents showing each document’s location.

Sort documents

Sorting is a useful tool to find documents. You can also sort a list after you’ve applied filters to it. Sorting a list by name puts it in descending or ascending alphabetical order; sorting it by date puts it in descending or ascending chronological order.

Click on the up-down arrow to the right of the header name to sort the list beneath it.

The documents table shows different columns depending on whether any search or filter is active.

Column View Description
Name Both Document or folder name. Click to open. Folders and documents uploaded by clients that haven’t been viewed yet are labeled New. Once any firm member opens the file, the label disappears for all firm members.
Contains Tree view Number of documents and subfolders inside a folder, including nested content. For example, a folder with 3 subfolders each containing 3 subfolders with 3 documents shows: “27 docs, 9 folders”.
Location Flat list Folder path of the document. Click to navigate to that folder. Long paths are truncated — hover to see the full path. Root-level documents show the root folder name.
Status Both Signature or approval status of the document. Not sortable. For details on each status, see this article .
Juno Tree view Shows whether the document has been sent to Juno and its current sync status.
Tag Tree view Tags applied to the document.
Uploaded Both Date the document was uploaded.
User Both Who uploaded the document to folders with Client can view and Private access levels. Shows Deleted User if the uploader’s account has been removed.
Description Tree view Document description, if added.
Individual permissions Tree view Shows individual access level set for team members and client contacts.
Default permissions Tree view Shows the default access level set for the folder.

Filter What it returns
Account Documents belonging to specific accounts.
Uploaded by Select All, Client, Firm, or Me to filter by who uploaded the document.
Last action Documents that underwent an action in the last selected number of days.
File types Select All, PDF, Word, Excel, or Images.
Signatures — Signed Documents signed by all account users.
Signatures — Partially Signed Documents signed by at least one account user.
Signatures — Pending Signature Documents missing at least one account user’s signature.
Signatures — Prepared for Signature Documents ready for signing that haven’t been sent out yet.
Signatures — Opted Out Documents that all account users have declined to sign.
Signatures — Pending KBA Documents with KBA that have at least one account user who needs to sign.
Signatures — KBA Failed Documents with at least one account user who has failed the KBA and/or declined to sign.
Signatures — Voided Documents signed offline and voided by a firm owner or team member with document management rights.
Signatures — Kind Electronic Documents signed using the Simple electronic signature.
Signatures — Kind QES/AdES Documents signed using the Qualified and Advanced electronic signatures.
Approvals — Pending Payment Locked documents awaiting payment.
Approvals — Pending Approval Documents awaiting client approval.
Approvals — Approved Client-approved documents.
Approvals — Disapproved Client-disapproved documents.
Tags Documents with one or more selected tags.
