Settings: Time Entries
The time entries settings help you control how your team tracks and manages time. Key options include requiring a service for entries, disabling manual input, and locking edits to ensure accuracy and compliance.
Require service for time entries
The Require service for time entries option ensures that a service must be selected for all time entries:
- No one can save new time entries without specifying a service.
- Existing time entries without service will require adding it before saving any changes.
To enable the option, go to Settings > Billing from the sidebar menu, switch to the Time entries subtab and toggle Require a service for each time entry on. The changes will be saved automatically.
Once set, it would not be possible to create time entries without selecting a service.
Disable manual entry
The Disable manual entry option ensures that your regular employees don't have the opportunity to add time entries retroactively. This means that they can only track actual time and are not allowed to enter dates and durations manually.
To enable the option, go to Settings > Billing from the sidebar menu, switch to the Time entries subtab and toggle Disable manual entry on. The changes will be saved automatically.
Once set, your employees who don't have the Manage time entries permission will not be able to use manual entry when adding time entries, as well as to change the assignee, start, end date, and duration for any time entry. The ones that have the permission will be able to use manual entry, disregarding the settings.
Lock for editing
The Lock for editing option ensures that your regular employees don't have the opportunity to edit finished time entries. When time entry is in progress, they will still be able to change rate, service, and the other data.
To enable the option, go to Settings > Billing from the sidebar menu, switch to the Time entries subtab and toggle Lock for editing on. You will then be able to choose when the editing should be disabled: immediately after finishing the time entry, at the end of the current day, or at the end of the week. The changes will be saved automatically.
When set up, here's how the time entry will look for your employees who don't have the Manage time entries permission. The ones that have it will be able to edit time entries, disregarding the settings.
