Manage team (Advanced): Use shared client account for team communication & internal time tracking
Even though TaxDome is just perfect for working with clients, you can also benefit from using it for your internal needs: tracking time, chatting and mass communications. In this article, you'll learn tips and tricks on how to keep your team communication in TaxDome so that you have everything in one place.
Before you start
To use TaxDome as a tool for internal operations and communication:
1. Add your firm as a client account.
2. Allow all team members access to the account. If you have an onboarding plan for new hires, add this action item to it.
Track time
Apart from working with clients, you probably have many other tasks: operational tasks (including team meetings and office management), employee training and onboarding, administrative and marketing work, internal projects and so on.
If team members in your firm are paid by the hour, or if you want more transparency about the team capacity, you can track working time and link the time entries to the shared firm client account you created.
Chat with colleagues
Secure chats in TaxDome enable you to communicate with clients, but you can also @mention your colleagues there, and your colleagues with the account access can engage in chat threads. When you create a chat thread for the shared firm client account, each chat thread can serve as a group or channel.
You can organize the chat threads by topic, for example, 'Daily updates', 'Internal announcements', 'Knowledge sharing', 'Water cooler talk' and so on.
Send mass emails to everyone on the team
You can email all team members if you want to ensure that some information reaches them. If you use the shared firm client account, you can make it faster – the account would work as an email group, and each contact would be a group member. So, when you email an account, you actually email all group members added as contacts. This way, you can deliver firm-wide announcements, meeting invitations, firm achievements and internal surveys. This is especially useful for larger firms.
So, to send mass emails to everyone on the team:
1. Set up email sync to be able to send emails right from TaxDome.
2. Add all team members as contacts and enable Email sync for them.
3. Switch to the Email tab of the account and write an email. This email will be delivered to all contacts.
