Automove (Basic): Move job automatically when client request is submitted
Once you are working on a job, you may need to urgently figure out some missing information. For example, you're doing a tax return and find no documentation to support deductions, such as receipts for medical expenses. The client request feature allows you to quickly find the missing info. However, it's important to make it part of the process so that when the needed information is received, the job card automatically moves to the next pipeline stage. Let's go deeper into this automation magic.
Step 1. Send requests and link them to jobs
1. Once you discover that important info is needed from the client, create a request and send it. Useful tips for the request preparation:
- Clarify a few questions that users can answer immediately. If you need to know many details, perhaps this request feature is unsuitable for you, and it is better to send an organizer instead.
- Ensure the questions are mandatory so that clients cannot skip them (they are by default). To check, click the gear icon and make sure if the Required toggle is on.
- Decide whether it will be possible for a client to answer a query without authorization in the portal and disable Require sign-in in this case.
2. Link the request to the job you are working on. You can do it either when creating a request or anytime later from the Requests list in the client's profile.
When a client submits the request, or once you change the request status to Completed, the job will go to the next stage. But it will work only if automove is enabled.
Step 2. Ensure automove is enabled
To make the automation magic happen, the Automove jobs toggle for the current stage should be enabled. This will ensure that when the client sends answers to your inquiry questions, the job will automatically move to the next stage.
That's it. When your client submits a response, the job card automatically moves to the next stage after reloading, as predicted. Below, we have demonstrated how it will work: on the left is the view from the client's side, and on the right is from yours.
