Proposal field reference

This article describes the fields available when creating or editing a proposal template or a proposal .

A proposal consists of several sections, each presented to the client on a separate page. You can customize which sections the template includes and what’s inside each of them.

General

Field Description
a. Template name Internal title of the proposal template. Not visible to clients.
b. Team member Team member who receives the payment associated with the proposal.
c. Signature requirement Whether one or all signatories must sign the proposal for it to be considered signed.
d. Name (visible to client) Title of the proposal. Supports shortcodes to include the account name, next year’s date, and other dynamic data.

Introduction

The Introduction page is where you can introduce yourself. Explain to clients who you are, what services you provide, the value you bring, and any other information you want to share. Include images and videos to make your self-presentation shine (maximum image size: 5 MB).

Field Description
a. Title Title that aligns with your branding or the content you’re including. Visible to clients.
b. Text body Introduction content. Supports shortcodes to include the account name, next year’s date, and other dynamic data.
c. Format Formatting tools (font, alignment, links, and so on).
d. Insert Add a logo, upload images from your computer, or embed video (YouTube and Loom supported).

Services

Choose how to present your services

Option Description
Tiered packages Offer up to 3 service bundles within a single proposal. Lets you present different service levels (such as Bronze, Silver, Gold) so clients can compare options, select the package that fits their needs, and sign in one flow. You can reorder packages to control the order in which they appear, and set up tags to be assigned automatically when a client chooses a specific package.
List of services A fixed-price proposal with a list of services. Clients review the services but can’t choose between options—they either accept or decline the entire proposal.
No service Skip the section.

Package details

Field Description
a. Package name Internal name of the package. For example, Basic, Gold, Ultimate.
b. Description Short summary of the package. Include when this package is the right choice and the situations it best fits.
c. Selling points Up to 20 selling points showcasing your services. Copy them from the added services or click Add row to add them manually.
d. Highlight package Toggle to draw attention to the offer you want to sell more often. You can also add a label.
e. Update account tags Toggle to assign or remove account tags automatically after the client signs the proposal.

Invoice

Field Description
a. Invoice type One-time or recurring invoice . Recurring invoices must be signed by the client after they sign the proposal.
b. Invoice template One of your one-time or recurring invoice templates.
c. Team member Team member responsible for the client.
d. Issue invoice When the invoice is issued. For one-time invoices: On acceptance creates the invoice immediately after signing; Specific date creates it on the chosen date (or immediately if the date has passed). For recurring invoices: On acceptance uses the signing date as the first Posted at date; Specific date uses the chosen date for the first invoice. Subsequent recurring invoices follow the recurrence schedule. Locked to Specific date when the proposal includes a deposit, because the deposit is collected at signing.
e. Description Optional description outlining what’s included in the invoice.
f. Note to client Message displayed in the client portal and the PDF invoice. Supports shortcodes .

You can add several invoices if needed by clicking Add one more invoice.

Line items & Summary

Both Line items and Summary in proposals work the same way as in one-time invoices. See:

Deposit

In the summary section, you can fill in the deposit details.

Field Description
Deposit type Fixed (a specific amount) or Percent (a percentage of the total).
Amount Deposit amount or percentage. Fixed deposit: any amount, including amounts that exceed the subtotal when the final scope is unknown. Percent deposit: 1–100% (cannot be 0%).
Balance Amount due after the deposit applies. Hidden when Subtotal = $0. A negative Balance (deposit exceeds Subtotal) shows only in the firm view — never to clients or in PDFs.

Note

When the proposal also issues invoices, the deposit appears in the summary of every invoice. For a recurring invoice, a percentage deposit is calculated from the total of all recurrences, not from a single period. Credit application on the scheduled date depends on the proposal’s Automatic invoice payment toggle — see how the deposit reaches an invoice .

Terms

The Terms page is where you provide your engagement letter or contract that outlines the terms of the relationship between your firm and the client.

Field Description
a. Title Title that aligns with your branding or the content you’re including. Visible to clients.

c. Format Formatting tools (font, alignment, links, and so on).

Send

The Send page is where you customize the email the client receives, set up automatic reminders, and select the payment method for the linked invoices.

Field Description
a. Allowed payment methods How clients pay invoices: credit card, bank debit, or both. See accepting credit card payments for supported methods.
b. Automatic invoice payment When enabled, clients provide payment details once and invoices are charged automatically without additional authorization. Appears only if you issue invoices within proposals . Can be turned on only if Stripe or TaxDome Payments is set up as the firm’s default payment method. When disabled, clients are asked to provide payment details for each invoice.
c. Custom message in email Replaces the default email system notification text. Supports account and date shortcodes.
d. Reminders Enables automatic reminders for pending proposals.
