Add team members, change & swap seats

This article is for the firm owner and admins only.Add team members using TaxDome’s seat-based subscription model. Reassign seats, change seat types, and swap seats between team members as your firm’s staffing needs evolve.
Seats vs team members, explained
Your firm’s staffing needs evolve—seasonal employees may become permanent team members, roles change, and sometimes departures happen unexpectedly. The seat-based subscription model gives you the flexibility to adapt without losing what you’ve paid for.
With seat-based management, you can easily:
- reassign seats between team members,
- switch seat types as roles change,
- move someone from a seasonal seat to a full-term seat when they transition to permanent status.
When a team member leaves, their seat becomes available for someone new—you never lose the value of purchased seats, they simply get reallocated.
Before you start
To add a team member to your firm, you need to have an available seat for them. If all seats are currently in use, you can either:
- Purchase additional seats during the team member addition process OR
- Free up a seat by deactivating a team member who is no longer with your firm, then allocate the seat to another team member.
When adding team members, you’ll select a seat type (full-term, monthly, or seasonal) depending on your plan. The seat type determines the team member’s billing cycle. Learn more about managing your subscription and seats .
Add a team member
A team member can be added to your firm:
Add a team member from your portal
To create a team member account from the portal, follow these steps:

Click your profile at the top right, select Teams & plans and open the Team members tab, then click Invite member.

In the Add team member section:
a. Select the seat type : full-term seat or monthly/seasonal seat. If no seats of the selected type are available, you’ll be prompted to purchase an additional seat for the user.
b. Enter the team member’s personal details: their first name, middle name, last name, and email address.
c. Select the team member’s role : employee or admin.

Only a firm owner can add admins. Admins can add employees only.d. In the Access rights section, enable the rights they will need by clicking on the on/off toggles. If you are unsure, don’t give any access rights at this time. You can do it anytime later.
- Click the Send invite button.
Once your new team member’s account has been created, TaxDome will send them an activation request by email. After they’ve accepted the request and created a password , their account will be ready to go.
The new team member will be able to access their account by going to TaxDome.com or your custom domain URL and entering their email address and password. Their first steps in setting up their account are described here .

The team member can be invited during the firm registration process. If the firm size you have selected is 2+, you will be prompted to send invitations to your team members. You can invite up to 10 team members. Enter their emails and click Next. Click + Add another if you want to send more invitations than suggested, or click the trash icon to remove the extra fields.
Once your new team member’s account has been created, TaxDome will send them an activation request by email. Click your profile at the top right and click Teams & plans to configure their access rights .
After they’ve accepted the request and created a password , their account will be ready to go.
Change a team member’s seat type
You can move a team member to a different seat type (e.g., from monthly/seasonal to full-term) directly from the Team members tab.
To change a team member’s seat type:
- Go to the Team members tab of Teams & plans page and make sure you have free seats of desired type available.
If you don’t have any free seats of the desired type, you can purchase them or free up by deactivating a team member who is no longer with your firm.
- Find the team member whose seat type you want to change, click the dropdown in the Seat type column and select another type of seat.
Note
Changing a team member seat’s type does not automatically remove the unused one from your subscription. To avoid charges for seats you don’t need, reduce your seat count before your renewal date.Swap seats between team members
You can exchange seat types between two team members without purchasing new seats. This is useful when you want to reassign existing seats within your team.
To swap seats:

Click your profile at the top right, select Teams & plans, and open the Team members tab.

In the Seat type column, click the dropdown next to the team member’s name.

Select Swap seat with…, then choose the team member to swap with.
The change takes effect immediately. Both team members exchange their seat types without affecting your total seat count.
