TaxDome AI explained
TaxDome AI is the document recognition feature built into TaxDome. It activates whenever a client uploads a supported file, automatically renames it, and applies the right tag. In this article, you will learn how this feature can improve your workflow.
TaxDome AI at a glance
TaxDome AI saves time on both sides: it automatically renames and tags documents your clients upload, and matches documents to the correct sections of document checklist — so you receive properly organized files and can get to work right away. Currently, TaxDome AI works with US tax forms, passports, and driver’s licenses.
TaxDome AI includes three features:
Match documents to checklist
When your client uploads documents to a document checklist , TaxDome AI automatically analyzes each document and matches it to the appropriate checklist section (for example, matching a W-2 form to the W-2 section). Clients don’t need to categorize documents manually, and you can track checklist progress in real time. Documents that couldn’t be identified can be assigned manually.
Rename documents
If your client uploads a document with a random name (e.g., IMG_30459.pdf), TaxDome AI automatically analyzes it and renames it based on the document type (e.g., 2024 1099-C New Tech LLC.pdf), using the [YEAR_FORM_NAME] template. You receive files that are ready to use without manual renaming. If there is an error, clients can modify the suggested names or disable automatic renaming .
Assign tags
TaxDome AI automatically assigns relevant tags to supported document types uploaded via the client portal or mobile app. This lets you quickly find documents using filters. Tags are visible to your team but not to clients. You can enable or disable specific tags, and edit any tag assignments manually if needed.
By default, the Assign tags feature of TaxDome AI uses a set of tags associated with different document types. Those are the only tags that TaxDome AI will work with. If you want to stop using some of them, go to Templates > Tags and delete them as you would with common tags. You can start using them again by clicking their names in the Deactivated tags section.
TaxDome AI security
We prioritize the security of your data by following industry best practices:

Minimal data processing: TaxDome AI extracts only a tiny portion of text from uploaded files to identify tags, years, and names. Entire documents are never processed by the AI.

No data storage: Your data is not stored on any third-party servers.

No AI training: Your data is never used to train AI models.

How TaxDome AI works
In general, the TaxDome AI workflow is:

The firm enables TaxDome AI features in Settings > Firm settings section. Each feature works independently, so you can enable only the features you need.

The client uploads a document through the client portal or mobile app .

TaxDome AI analyzes the file and applies the enabled actions: matches the document to the right section of the document checklist , renames the file, and assigns relevant tags from the predefined AI tag set.

Properly named and tagged documents appear in the account. You can review the result.
Access and permissions
TaxDome AI is configured by the firm owner or admin — only they can enable the feature and choose which AI actions are active. Once enabled, AI processes documents automatically across every client account, and team members don’t need any additional access right to benefit from it. Tags assigned by TaxDome AI are visible to the firm team but not to clients.
By default, TaxDome AI is turned off.
Client view
If automatic renaming is on, when clients upload documents through the client portal or mobile app , the suggested file name appears during upload; if the suggestion is wrong, the client can edit it or turn renaming off before the file is uploaded. For document checklists with auto-matching enabled, uploaded files are matched to checklist sections automatically, so the client doesn’t need to assign each file manually.
For tagging, TaxDome AI works in the background — clients don’t see the assigned tags or any other AI processing details.
