TaxDome AI: Overview

TaxDome AI helps your firm save time by automatically renaming and tagging documents your clients upload. This way, you will receive all their documents already properly named and tagged and get to work immediately without extra effort. In this article, you will learn how this feature works and how you can use it.

TaxDome AI, explained

TaxDome AI is included in the Pro and Business plans at no additional cost.  Currently, TaxDome AI works with US tax forms, passports and driver's licenses.

When your clients upload documents to the portal, you may need to spend extra time giving these documents meaningful names and categorizing them for easy retrieval later. This can become challenging when many clients upload dozens of documents each day. TaxDome AI solves this problem and helps you organize client-uploaded documents by:

  • Renaming: If your client uploads a document with a random name (e.g., IMG_30459.pdf), TaxDome AI can automatically analyze it and rename it based on what the document is (e.g., 2024 1099-C New Tech LLC.pdf). This way, you receive documents that don't need to be processed and renamed manually.
  • Tagging: If your client uploads one of the supported document types, TaxDome AI can automatically assign relevant tags to these documents based on the document type. This way, you'll be able to quickly find documents of particular types using filters.

How TaxDome AI works:

1. Clients upload one or several documents via the client portal or the mobile app.

2. TaxDome AI analyzes the documents and renames them, using the template [YEAR_FORM_NAME]. If there is an error, clients can modify the suggested names.

3. Upon analyzing the documents, TaxDome AI also tags them. Document tags are not visible to your client but visible to your team. You can enable and disable particular document tags. If tag assignments are inaccurate, you can edit them manually.

Enable TaxDome AI

By default, TaxDome AI is turned off. When enabled, it will work for all clients. To enable TaxDome AI:

1. Go to Settings > Firm settings from the sidebar menu. 

2. In the TaxDome AI section, toggle on Rename documents to enable automated renaming documents.

3. Toggle on Assign tags to enable automated assigning tags. This will create tags supported by the feature in the system. 

By default, TaxDome AI uses a set of tags associated with different document types. Those are the only tags that TaxDome AI will work with. If you want to stop using some of them, go to Templates > Tags and delete them as you would with common tags. You can start using them again by clicking their names in the Deactivated tags section on the Firm settings page.

TaxDome AI security

We prioritize the security of your data by following industry best practices:

  • Minimal data processing: TaxDome AI extracts only a tiny portion of text from uploaded files to identify tags, years, and names. Entire documents are never processed by the AI.
  • No data storage: Your data is not stored on any third-party servers.
  • No AI training: Your data is never used to train AI models.
