System roles explained
Not everyone on your team needs the same level of access. System roles let you control who can manage firm settings, handle billing, and see client accounts — so the right people have the right permissions.
System roles at a glance
Every team member on TaxDome has one of three system roles: owner, admin, or employee. System roles determine what a person can manage at the firm level — from subscription and team settings to client account access.
- Owner — the firm’s primary account holder, registered at signup. There can only be one owner. The owner has unrestricted access to all TaxDome features and accounts.
- Admin — a team member assigned firm management rights by the owner, except for subscription and system roles management.
- Employee — a team member whose access is controlled through access rights and is limited to the client accounts they’ve been assigned to.
System roles vs. account roles
System roles and account roles both involve team members, but they serve entirely different purposes:
- System roles (owner, admin, employee) — determine firm-level permissions: who can manage the subscription, configure settings, and control what others can see and do across TaxDome. System roles are set by the owner and apply across the entire firm.
- Account roles (for example, tax preparer, bookkeeper, consultant) — used for task and job distribution. Account roles let you assign work to a role rather than a specific person, so that when a job or task is created, TaxDome automatically assigns it to whoever holds that role for the specific client. Account roles do not affect system roles or access rights.
Access and permissions
System roles define the default user permissions:
Owner role
An owner can do any of the following:
- Access all of TaxDome’s features and accounts—and their access rights cannot be revoked
- Add and delete team members
- Choose roles for team members (admin or employee)
- Select employee access rights
- Manage firm subscription
- Manage payment methods for firm subscription
- View information on jobs, tasks, assigned client activity for all employees, as well as the team summary on the Insights page
- Set weekly capacity for team members
Admin role
An admin is a person to whom an Owner assigns some of the firm management rights. Like the owner, an admin has immediate access to all of TaxDome’s features and accounts. They can also add new employees and select access rights for them. However, an admin cannot do any of the following:
- Set or change the roles of team members (e.g. change an employee to admin or vice versa)
- Add, delete, deactivate, or restore admins
- Manage firm subscription
- Manage payment methods for firm subscription
- Connect TaxDome to QuickBooks Online
- Edit and delete comments on the jobs left by the firm owner
- Manage weekly capacity of the owner
Employee role
Depending on their responsibilities, employees are given different access rights on TaxDome. The owner and admin choose which access rights employees should have during the registration process. Access rights can be changed or added at any time. Here’s more on employee access rights .
An employee’s usage remains limited until they have client account access. When adding an employee, you can do one of the following:

Give them View All Accounts access rights (here’s an explanation of all access rights )
An employee cannot do any of the following:

Change their own access rights or those of others

Give other team members access to accounts—unless they have been given the Assign teammates access rights

View stats in the Team summary widget on the Insights page

Delete comments on the jobs left by other team members

Delete chat messages
Set or change roles
An owner can set or change a role when adding a team member or at any time. To change a team member’s role:

Go to Settings > Team & Plans, open the Team members tab, click on the three dots to the far right of the team member’s name, then click Edit.

Select the new role for the team member in the drop-down, then confirm by clicking Continue.

Click Save.
