Onboarding: Automate your processes with pipelines

In TaxDome, you have advanced features that allow you to automate many processes. In this article, you will discover the possibilities within TaxDome and receive guidance on where to head next.

Understand the workflow

First, you need to understand which main entities are there:

  • Pipeline: A pipeline is a sequence of stages that complete one project. For example, it can include all the steps needed to prepare a tax return, starting with collecting information from the client and ending with e-filing a return.
  • Job: A job is a project you are doing for one client. In the tax return example, it would be one client's return you are working on.
  • Stage: A separate step within your pipeline. For example, reviewing documents or filing a return. Jobs in progress are always located at particular stages of the pipeline. 
  • Task: A to-do item that you or your team members must perform. It can be a part of a job.

Learn the main concepts

The best part about working with pipelines in TaxDome is that you can make them complete routine repetitious actions for you. Here are the features that can help you with that:

  • Templates: The Marketplace offers pre-made pipeline templates, so you won't have to create pipelines from scratch. Simply save the templates to your library and customize them according to your needs.
  • Automations: Add automations to pipeline stages to perform actions once jobs reach these stages. For example, you can send progress updates to your clients, issue invoices, collect client data, and have tasks for your team created automatically.
  • Automove: If you activate automove for a specific stage, jobs in this stage will automatically progress to the next stage once all action items for this stage are completed. This way, for example, you won't need to check whether your client has submitted an organizer or paid the bill.
  • Conditional stages and automations: If some of your clients have additional needs or if your approach varies for different client groups, you can activate certain stages and automations exclusively for clients with specific tags. For instance, new and returning clients will receive different proposals.
  • Job recurrences: If you need to create the same jobs for the same client, you can have them created automatically at specified intervals. For example, if you do monthly bookkeeping, jobs will be created once a month, so you don't need to worry about missing anything.

  • Adding jobs to your pipeline: You'll be doing that most of the time, so pay attention to all the different ways to do it.
  • Working with pipelines: Access your pipelines and view the overall picture of jobs added 
  • Work with jobs and tasks: Learn how to access existing jobs and tasks, track time spent on them, make changes, add comments, and more.
  • Link entities to jobs: Keep things organized and link all action items and related entities to jobs, such as documents, notes on a client, invoices, and more.
