Invoices (Advanced): Schedule ahead

In big companies, managing invoices can be a time-consuming task. To avoid the stress of last-minute invoicing and provide a better experience for your clients, TaxDome offers a  Schedule invoice feature. Thanks to it, you can create multiple invoices in advance and schedule them at times of your choosing.

Scheduling invoices

If you need to send out an invoice on a particular day, you can schedule it in advance and take it off your big to-do list. When you create an invoice, toggle on Schedule invoice. Specify the date and the time when the invoice should go out, then click Create.

Note! 

  • The Send Invoice by Email, Pay Invoice and Copy payment link options are not available for the scheduled invoices until they're issued.
  • If you want scheduled invoices to be synced with QuickBooks, enable it in QuickBook integration settings.

How scheduled invoices sync with QuickBooks

You can select whether to synchronize scheduled invoices with QuickBooks or not. To do this: 

1. Navigate to the  Integrations tab of the Settings page. Then, switch to the QuickBooks subtab. 

2. In the Sync settings section, toggle Sync scheduled invoices on.

 

3. Click Save.

Once you enabled the synchronization, all scheduled invoices will be issued with an invoice number due to the QuickBooks synchronization rules.

tip

Note! Previously scheduled invoices will not be synchronized with QuickBooks after enabling the synchronization, since they don't have invoice numbers assigned.

Viewing scheduled invoices

Once you’ve created a scheduled invoice, you may want to preview it to make sure everything looks good. You can find all scheduled invoices in the invoice list. Such invoices will have the Scheduled status.

To ease up the search process, filter your invoice list by the Scheduled status.

You may want to send the invoice before the scheduled day. To do this, click three dots to the far right of the scheduled invoice and select Send now in the dropdown.

Editing scheduled invoices

All scheduled invoices that are not paid yet can be edited from the Invoices page. To do this, click three dots to the far right of the invoice and select Edit.

After this you will be able to edit any necessary information.

tip

Note: When you change a scheduled invoice number, it’s automatically updated in QuickBooks if the synchronization is enabled.

Tip: You cannot edit an invoice once the client has paid. At that point, the invoice is a record and cannot be changed. You can, however, issue a refund in case you have accidentally overcharged the client, for example.   

When you have made some changes to the scheduled invoice, you may want to send it right now. To do this, click Send now at the bottom of the Edit invoice sidebar. Once clicked, all changes will be saved and the invoice will be sent to the client.

Deleting scheduled invoices

If you need to delete a scheduled invoice, click three dots to the far right of the invoice, select  Delete and confirm it by clicking Delete once again.

You can delete the scheduled invoice from the client's Invoices tab as well. To do this find the scheduled invoice you want to delete in the client's invoices list, then click three dots to the far right of the invoice, select  Delete and confirm it by clicking Delete once again.
