This article applies to firms in the US.

Checklist templates let you pre-fill a document checklist’s category, period rule, and optional starter items, so you can create checklists faster and consistently instead of rebuilding the same one by hand for every client. Templates are firm-wide and managed from Templates > Firm templates > Checklists, separate from your existing organizer templates .

Create checklist templates

To create a checklist template:

  1. Go to Templates > Firm templates > Checklists.

  2. Click Create Template.

  3. Fill in:

    • Template name: what everyone in your firm sees in the template list—keep it short
    • Category: the document type the template applies to (e.g., 1040, 1120, Bookkeeping), chosen from a fixed list
    • Period > Frequency: yearly, monthly, quarterly or one time—the template isn’t tied to a specific year; the year is picked later, when the template is attached to an organizer template or a checklist is created from it
    • Items: either Personalized (no preset list—documents are picked per client on each checklist) or Starter list (at least one preset document type and description; new checklists still let you add or remove items to personalize them)
  4. Click Create Template.

You can keep multiple templates for the same category—for example, separate 1040 templates for different service tiers.

Apply checklist templates

You can apply a template two ways:

Linking a template to an organizer template also gets you an Inbox+ notification (Beta) summarizing the results when that organizer is sent in bulk and creates checklists.

Edit checklist templates

To edit a checklist template, click the three dots to the right of its name, select Edit, make your changes, then click Save changes.

Note

Editing a template does not affect checklists that have already been created from it.

Delete checklist templates

The template editor shows how many organizer templates and accounts use each template. If a template is linked to an organizer template, Delete is disabled in its menu until you remove it from that organizer template.

To delete a template, click the three dots to the right of its name, select Delete, then confirm.
