Folder templates explained

Folder templates are reusable folder structures you define once and apply to client accounts — manually or automatically. They ensure every client account has a consistent, organized document structure from day one.

Folder templates at a glance

Every client account in TaxDome has three top-level folder locations. A folder template defines the subfolder structure within each of them:

  • Private — visible only to your firm. Use it for workpapers, drafts, or sensitive internal documents.
  • Firm docs shared with client — for documents sent to clients, such as e-signature requests or finalized returns.
  • Client uploaded documents — a designated area where clients upload files. Any document requests you send will appear here.

Here is what you can do with folder templates:

  • Create reusable structures — define a folder hierarchy once and apply it to any number of accounts. Create a folder template .
  • Apply to accounts — apply a template to a new or existing account to instantly build the folder structure. Apply a folder template .
  • Set a default — designate one template as the default so it is automatically applied to every new account. Set the default .
  • Automate folder creation — apply templates via pipeline automation so the right structure is created without manual work. Apply folder templates automatically .

How folder templates work

  1. Create a template — define the folder hierarchy in the template editor. A common approach is to organize folders by year and service type.
  2. Apply the template to an account — when applied, TaxDome merges the template’s structure into the account’s existing folders.
  3. Folders are created, not replaced — applying a template is non-destructive. Folders that already exist in the account are not duplicated or removed; only missing folders are added. Re-applying a template later follows the same logic.

Note

Editing a template after it has been applied does not update the folder structure in existing accounts. To reflect changes, re-apply the template.

Access and permissions

Access to folder templates is split by action:

Firm owners and admins have both access rights by default.

Automate folder creation

Folder templates can be applied automatically via pipeline automations . When a job enters a specified stage, TaxDome applies the selected template to the client account — no manual action needed. This is useful for onboarding workflows or any recurring service where a consistent folder structure is needed from the start.

Client view

Clients can see folders in the Docs section of their portal. Only folders inside Firm docs shared with client and Client uploaded documents are visible to them — folders in the Private location are never shown to clients.
